A Request for Proposal (RFP) is a formal document a buyer issues to invite suppliers to propose a solution to a defined business need. Unlike a price-only bid, an RFP asks vendors to describe their approach, scope, timeline, qualifications, and pricing, so the buyer can weigh how each supplier would actually deliver. It is common when the requirement is complex or open-ended enough that the buyer wants ideas, not just a number.

How it works

The buyer writes an RFP that states the problem, requirements, evaluation criteria, and a submission deadline. Suppliers respond with a written proposal covering their proposed solution, team, references, and cost. The buyer scores each response against the stated criteria, often shortlists a few vendors, and may run clarification rounds or interviews before awarding the work.

RFP vs RFQ vs RFI

These three are easy to confuse. An RFI (Request for Information) gathers general market and capability details early on. An RFQ (Request for Quotation) assumes the requirement is already fixed and asks only for pricing on specified items.
